What does a project cost?

Every project is quoted from a written scope after the first call, and you approve the price before anything is built. Your costs have two parts: the one-off build, and the tools it runs on, which stay in your own accounts and are billed to you directly. Ongoing monitoring is optional.

How long does a project take?

Most first builds take 4 to 8 weeks from the first call to handover, including scoping and testing with your team. A single two-system integration can ship in under 2 weeks.

Do we have to replace the tools we already use?

Almost never. We build inside your current stack, such as HubSpot, GoHighLevel, Zoho, Monday.com, ShipStation or QuickBooks, because replacing tools is expensive, slow, and usually solves a different problem than the one you called us about.

Who owns the system once it is built?

You do. Workflows run in your accounts with your credentials, and you get documentation your team can read. There is no lock-in: you can keep us for monitoring and changes, or run it yourselves.

What happens if something fails after handover?

Every workflow is designed to route failures and missing information to a named person with the record attached, instead of failing silently or pushing incomplete work forward. If you choose ongoing monitoring, we watch the runs and fix what breaks.

Where does AI actually fit?

Where a repeatable first-pass judgment or a draft saves real time: answering a call, classifying a message, qualifying a lead, summarising an intake, drafting a reply. Fixed rules handle the rest, and decisions that carry risk stay with your people.

We are a small team. Is this worth it for us?

The scope depends on how much manual load you carry, not on headcount. A five-person team drowning in repetitive work has more to gain than a fifty-person team that is already organised.

Four tools became one eleven-stage platform.

One event touched a booking tool, forms, a project board, a staffing app, several documents and a string of reminders. Admin took several hours a day.

What we built

Phase 1: the existing tools connected end to end. SimplyBook bookings created Make-generated proposals, Twilio sent SMS and email, Trello tracked each stage, AI drafted menus and grocery lists, Connecteam scheduled staff, and a post-event financial audit and review request closed the loop
Phases 2 and 3: a custom operations platform that replaced Trello, Zoho Forms, SimplyBook and Connecteam. Website enquiries land on a lead board with automatic follow-up tasks, consultations book into Google Calendar with Meet links and reminders, and each event moves through one eleven-stage pipeline
Inside the platform: staffing recommended from Reese's own ratio rules and chef skill levels, quotes drafted from the consultation transcript for review, an interactive proposal the client signs online, menu forms that follow the booked package, and vendor requests for pastry and tablescapes
Phase 4: one pricing engine for every quote, proposal and booking, with rates set by the owner, enhancements the client can add on the proposal, and deposits and balances paid through Stripe
